Administration Officer

Part-time, contracted position 2021

Stonewave Taiko is seeking applicants for the position of Administration Officer, 16 hours per week commencing mid July, 2021.  This position is funded for one year with potential for extension depending on funding.  16 hours per week is an average with variation through the year.

Stonewave Taiko (SWT) is a Bega-based arts and community organisation, building connections by sharing Japanese Taiko (drum) culture, developing skills through teaching, training and performing.

We are looking for an energetic, experienced, self-motivated Administration Officer who will develop the administration and grow our vibrant, arts-based organisation.  The successful applicant will have excellent communication and computer skills, be familiar with grant writing, be able to work collaboratively and independently within a small organisation and have proven competency in financial administration.    An interest in the performing arts is desirable.  At this stage, applicants must be able to work from home, within the Bega area.

Remuneration is $30/hour + superannuation.

Job Description

  • Management & Administrative Support
    • Manage day to day operations – answer phones, emails, requests and enquiries
    • Be the point of contact for all member/player enquiries.
    • Liaise with external organisations
    • Research, apply for and manage appropriate grants, including acquittal, in collaboration with Artistic Director (AD).
    • Manage SWT archives – photos, videos, training materials
    • Maintain Stonewave Taiko’s Registers, including Membership, Asset, WWCC
  • Finances
    • Invoicing members
    • Accounts payable
    • Payroll management
    • Prepare budgets, both annual and project-based.
    • Grant Acquittals
    • Provide administrative support for Executive committee as required.
  • Legal & Compliance
    • Prepare Risk Assessments as needed
    • Ensure all mandatory reporting and child protection processes are carried out.
    • Ensure insurance is paid annually
    • Ensure compliance and notification with Fair Work.
  • Marketing & Community Engagement
    • Manage promotional material
    • Be the point of contact for all media enquiries
    • Maintain online presence – updating website, Instagram, FB, newspapers
  • Communications
    • Liaise with & support Artistic Director on current projects.
    • Communicate effectively with the Stonewave community, eg email, newsletters, phone.
    • Liaise with delegated committee member on communication/grievance issues that require action or could be a risk to SWT.
  • Event Management
    • Organise & provide administrative support for events & performances.
  • Staffing & Tutors
    • In collaboration with AD, oversee the recruitment process of tutors
    • Arrange for relief tutors as needed
  • Committee meetings
    • Attend committee meetings – 4-6 per year
    • Organise Committee meetings – provide info beforehand, make sure Committee have all relevant info in order to make good decisions
    • Prepare agendas and take/edit minutes
    • Follow up on Business Arising
    • Prepare and run AGM

 

Selection Criteria:

Essential

  1. Strong IT and administration skills;
  2. Strong skills in financial management and budget development;
  3. Expertise with bookkeeping software;
  4. Experience with grant writing;
  5. A proven understanding of the administration required in an arts-based, community organisation including marketing;
  6. Demonstrated ability to work in a team;
  7. Ability to communicate effectively, both verbally and in writing.

Desirable

  1. Competence with visual media – desktop publishing, web design, video and/or web based marketing.
  2. An understanding of the compliance and legal requirements of an incorporated organisation.
  3. Experience in planning and implementing projects – events, festivals, conferences, training seminars;
  4. Experience in marketing and promotion.
  5. Experience in working in a small to medium organisation
